How to Calculate Occupancy Load?
Occupancy load is calculated using a simple formula based on fire safety codes (NFPA 101 / IBC):
Capacity = Floor Area ÷ Load FactorThe load factor varies based on the type of event or use. Standing events allow more people per square foot than seated events, as each person requires less space.
How Many Sq Ft Per Person for a Wedding?
For a seated wedding reception (banquet style), plan for 15 square feet per person. This includes space for tables, chairs, and movement between tables.
- Ceremony (seated): 7 sq ft per person
- Cocktail hour (standing): 7 sq ft per person
- Reception (seated dinner): 15 sq ft per person
- Dancing area: Add 3-4 sq ft per dancer
Fire Code Safety Margins
Never aim for 100% of your calculated capacity. Fire codes set maximum limits, but operating at full capacity can create safety issues:
- Emergency exits need clear pathways at all times
- Guest comfort decreases significantly at max capacity
- Airflow and ventilation may be inadequate
- Staff movement becomes difficult
Recommendation: Plan for 80-85% of calculated capacity for a safe and comfortable event experience.
